How can I import applicants to my process?

When you are managing a recruiting process in Get on Board, you can import applicants who arrived from another source so your team can evaluate them in the same ATS board as everyone else. There are two import methods: direct CV upload and email import. They are similar once the applicant is created, but they do not support files in exactly the same way.

Where to import applicants

You can import applicants from two places:

  • Actions menu in your job (from the dashboard).
  • Applicants column inside your process board.

Choose the right import method

You can add applicants in two ways:

  • Upload the CV directly when you have the applicant’s file on your computer and want to review the extracted fields before saving.
  • Import by email when you received the applicant by email and want to forward one PDF CV to the process address.

Once imported, the applicant appears in the Applicants column. You can edit their data, add comments, and evaluate with scorecards. You can also move them to different columns just like applicants who applied on Get on Board. The candidate is not notified when you import them.

Upload a CV directly

Use direct upload when you want to add one applicant from a CV file. Supported formats are PDF, DOC, DOCX, RTF, and TXT, up to 5 MB.

After you upload the file, Get on Board extracts the applicant’s information and fills the draft card. Review the imported fields before saving the applicant in your process.

Import via email

Use email import when you already have an applicant’s resume in your inbox. Copy the unique email address shown in the import modal, then forward one email with the applicant’s CV attached.

Email import works with one applicant at a time. Get on Board looks for the first PDF CV attachment in the message, imports that file, and ignores any other attachments before extracting the applicant’s data. To import several applicants, send each CV in a separate email.

When the email is processed, Get on Board reads the selected file and pre-fills the applicant card with their name, email, contact details, and social profiles when that information can be detected. You can always edit any field after the applicant appears in your process.

Why is my applicant not appearing on the board?

If you do not see the applicant on your board after sending the email, it may be due to one of these reasons:

  • The attached file was not a PDF CV or could not be processed. You will receive an automatic email when the file type is not supported.
  • The process is closed or does not exist. You will be notified by email.
  • The CV was not attached to the email, or it was not the first PDF attachment in the message.

How long does it take?

Importing applicants by email is almost immediate. You only need to wait a few seconds for the applicant to appear in the Applicants column of your process.

Fixing autofill errors

CV extraction is automated, so some fields may be missing or need correction. This can happen with both direct upload and email import.

  • With direct upload, review and edit the draft fields before saving.
  • With email import, edit the fields directly inside the applicant card after it appears in the board.
